What can you expect?

The HR team is responsible for the provision of a full range of HR services to the Firm (c. 1,200 UK staff), including recruitment and resourcing, compensation and benefits, performance management, employee relations, staff wellbeing, advice on employment law issues, compliance with Law Society/statutory obligations, diversity and inclusion, and maintenance of e-personnel records.

The job holder will work under the HR Operations team who are responsible for all generalist HR processes and activities and will report into the HR Advisors.

Responsibilities

HR Administration

  • Provide the HR Operations and Reward teams with advanced administrative support for HR processes and procedures, helping ensure the delivery of a high-quality service across the team.
  • Serve as the first point of contact for general and complex HR enquiries (annual leave, sickness, HRIS, etc.), while overseeing the management of the central HR inbox and acting as a point of escalation for the HR Administrators. Respond to queries directly or escalate them to relevant HR Advisor within agreed SLAs.
  • Manage and help oversee the day-to-day HR administration and processes, including new joiners, probations, secondments, fixed-term contracts, promotions, transfers, exit interviews, leavers, flexible working requests, family leave, and some security clearances. Ensure these processes are carried out accurately and efficiently by the HR Administration team.
  • Take responsibility for updating and maintaining the HRIS (Cascade), ensuring employee records are accurate through regular data audits. Oversee the maintenance of the HR e-filing system, delegating tasks as appropriate.
  • Prepare, circulate, and review reports on fixed-term contracts, maternities, new joiners, and leavers, along with other ad-hoc reporting (sickness, annual leave, migrants, etc.) to agreed SLAs.
  • Organise and deliver bi-weekly induction sessions, ensuring that new joiners are provided with a comprehensive introduction to the firm.
  • Prepare correspondence, meeting and attendance notes, and provide general assistance as required, with the additional responsibility of quality checking work prepared by other team members.
  • Oversee content editing for the HR webpages on the intranet, posting online updates on the e-noticeboard, and liaising with the Marketing Team as appropriate. Ensure consistency and accuracy in all communications.

HR Advisory Support

  • Have a focus on process and system improvement to effectively support evolving administrative needs of the team and wider firm.
  • Help HR and ER Advisors regarding organising meetings and taking meeting minutes.
  • Prepare more complex and/or bespoke reports for HR team or other internal stakeholders.

Payroll, Reward, and Benefits

  • Ensure payroll instructions are provided to the payroll team accurately and in accordance with payroll deadlines. Review payroll submissions prepared by the HR Administration team for accuracy and completeness.
  • Respond to general payroll queries regarding payments and processes and help oversee the team’s handling of these queries to ensure they are resolved efficiently.

Projects

  • Support the annual salary and promotion review process, taking a lead role in managing all administrative aspects, including meeting invites, spreadsheets, moderation meetings, and info packs for partners and managers. Oversee the team’s contribution to ensure all aspects are completed accurately and on time.
  • Support with the delivery other cyclical HR projects, such as practicing certificate renewal, Inclusion and Diversity Projects, Mental Health/Wellbeing, Policy Review, etc
  • Coordinate the preparation of annual audits (e.g., immigration, info security, etc.), ensuring the team provides the necessary support for a smooth and compliant audit process.

Experience and Knowledge

  • Proven experience in an HR Administrator or Assistant role
  • Strong academics with excellent literacy and numeracy skills, with the ability to guide and support the HR team in these areas.
  • Exceptional attention to detail with the ability to process and oversee large amounts of employee data.
  • Excellent time and organisation management skills, including the ability to prioritise workload with conflicting deadlines while overseeing the team’s work.
  • Strong written and verbal communication skills, with the ability to mentor and guide junior team members.
  • A high level of computer literacy, including the ability to use MS Office (specifically Word, Excel, and Outlook) to produce letters and communication, maintain records, cross-check data between different systems and/or spreadsheets, and use Outlook effectively to communicate. Provide guidance to the team in these areas.
  • Ability to work closely with colleagues to deliver agreed objectives within timescales, with the additional responsibility of overseeing the HR administration team to ensure these objectives are met.
